Who runs this app
GMCP Hostel is run by Ganga Memorial Educational and Development Society for the hostels of Ganga Memorial College of Polytechnic, Harnaut, Nalanda, Bihar. It is used only by the college's hostel students, wardens, security staff and hostel office.
What we keep
For students: name, mobile number, Student ID, roll number, branch, year, session, hostel room, and a parent's or guardian's name and mobile number.
Hostel records: gate pass requests (where, why, when), approvals and return times, nightly roll-call attendance, complaints, and any supporting PDF a student chooses to attach to a leave request.
Account security: the time of each login attempt, the device and browser used, and the network address. Passwords are stored only in scrambled form; nobody can read them.
Why we keep it
To run hostel leave, attendance, complaints and notices, and to inform parents about their child's leave, return, late return or absence at roll call. Parents are messaged by SMS or WhatsApp only for these hostel matters.
Who can see it
Students see only their own records. Wardens see the students of their own hostel. Security staff see gate passes. The hostel office and the super admin see all hostel records. Supporting documents can be opened only by the student, their hostel's warden and the hostel office.
We do not sell or share this information with anyone outside the college, except the SMS and WhatsApp providers that deliver parent messages (MsgClub and AiSensy) and the cloud services that host the app (Google Firebase and Neon), which store it on our behalf.
How long we keep it
Records are kept while the student lives in the hostel and for up to one year after they leave, unless the college must keep them longer by law or for an inquiry. Login records are kept for one year.
Your choices
Students and parents can ask the hostel office to see or correct their information, or to remove a supporting document. Contact the hostel office or write to info@gmcpnalanda.com.
